TABS, Inc. provides assistance and guidance to foreign companies that are starting or expanding their business in the U.S. TABS has offices in New York, Houston (Humble), TX, and The Netherlands, and we are excited to add a Payroll Tax Admin to our team at the Houston office.

We are seeking a dedicated and detail-oriented Payroll Tax Administrator to join our team. In this role, you will primarily support the Payroll Specialists and Payroll Manager in managing tax-related tasks for their assigned clients. Responsibilities include completing tax registrations, monitoring and responding to tax notices, updating tax account statuses, and performing other administrative duties as assigned. This position requires strong communication and organizational skills, as well as excellent customer service skills.


Key Responsibilities of a Payroll Tax Administrator

  • Monitor the client tax notices inbox, accurately entering data into tracking systems to ensure timely follow-up and resolution.
  • Respond promptly to tax notices, maintaining detailed progress records and coordinating follow-ups with state agencies as needed.
  • Facilitate the establishment of new state withholding and unemployment tax accounts by completing tax registrations for clients across all 50 states.
  • Process tax account status updates, including account closures and reactivations, in accordance with clients’ requirements.
  • Communicate with state agencies via phone or email to address and resolve tax-related issues.
  • Provide regular status updates to Payroll Specialists and the Payroll Manager through trackers, emails, and meetings.
  • Enter and maintain accurate tax information across various payroll platforms.
  • Conduct periodic audits and spot-checks of tax account information in payroll software systems, such as ADP and Gusto, to ensure accuracy and compliance.
  • Support payroll team members with additional administrative tasks as needed.

This role will not be client-facing or include payroll processing tasks initially, though there may be an opportunity to grow and evolve overtime based on proven skills and ability.


Job Qualifications and Skill Set of a Payroll Tax Administrator

  • Bachelor’s degree in business or other related field and 2+ years of relevant administrative experience; OR High School Degree and 4+ years of relevant office administration, or payroll administration experience.
  • Excellent customer service skills.
  • Proactive and assertive communication style, with the confidence to ask questions and seek resolutions effectively.
  • Excellent organizational or project management skills.
  • Ability to complete repetitive tedious tasks with high attention to detail and accuracy.
  • Ability to handle sensitive and confidential matters with discretion.
  • Must be able to work out of our Humble office a minimum of 3 days each week.
  • Ability to manage multiple tasks simultaneously and under pressure.
  • Ability to adapt quickly to our rapid growth and evolving internal culture.
  • Experience with tax registrations, and/or communication with tax agencies.
  • Experience using ADP, Gusto or QBO Payroll Systems.

This is a full-time position. TABS will offer a competitive salary as well as a full benefit package. Eligible applicants must have authorization to work in the United States.
